To start, click "Schedule New Report". If your account has a certain level of access, this button will ask you which type of scheduled report to create. For most use cases of scheduled reports, click "Create basic report". Learn more about advanced reports .
You will then have to fill out the information. The "Recipients" field is optional.
Name: Give a name to your schedule. This will show up in the list of schedules and also as part of the CSV file emailed to you / downloaded.
The file name emailed to you / for downloading will look like this:
[account-name]_[period-start]_[period-end]_[name]_[six-random-characters].csv
Example:
Fanplayr_2021-06-01_2021-07-30_My-Report_xxxxxx.csv
Frequency: How often you'd like to generate / receive a report. This can be one of the following:
Never: Only available if you have access to advanced scheduled reports. This option is to be used if the report is not intended to run outside of its usage in advanced reports.
Daily: Generate a report every day, for the previous day.
Weekly: Generate a report every Monday for the last Monday through Sunday period.
Monthly: Generate a report on the first of the month, for the previous month.
Quarterly: Generate a report on the first day of the month after a given quarter, for the previous three months. These would be January through March, April through June, July through September and October through December.
Start Date: The date at which to start generating reports. This may not be the day the first report is generated, given the periodicity chosen. A preview of the next 5 reports to be sent out will be displayed once you choose a Periodicity and Start Date to help make sure you get this right.
Filters: Here you can select Insights filters to filter the output data. There are two methods you can use here:
Saved Filter: You can select a saved filter in Insights to be used to populate these filters. The options include both public, account-wide filters and private filters which are only visible to you. Once the filters are populated, feel free to further customize the filters here. No changes made to the filters here will affect the saved Insights filter. Similarly, no changes to the saved filters in Insights will retroactively affect this scheduled report.
Manual Filter Creation: You can also simply use the filter editing component here to create your own filters, just like in the SMS or notification creation process.
Recipients: If you supply one or more email addresses, the report CSVs will be emailed (as attachments) to these email addresses.
When clicking "Add fields" to add to the list of the report's output fields, you will see the popup in Figure 2. Use this to add or remove fields from the report.
The editor is split into different groups of fields. These groups indicate which fields can be queried together as part of the same report. All fields in the "Basic" group can be queried with each other or any other field (this is the majority of fields). Any fields in one of the "Unique Groups" can only be queried with other fields in its group (or "Basic" fields).
For example, if you add the "Widget Views" field from the "Widgets" group, you can add any "Basic" field (like "Session End Date") or any other fields in its group (like "Widget Clicks"). However, you cannot add any fields from other unique groups like "Segments" or "Conversions". This is primary to ensure the resulting statistics are not incorrectly inflated.
Once selected, you will see the fields listed like in Figure 3. You can click-and-drag to rearrange the order of the fields as they will be outputted in the resulting CSV. Clicking the "X" will remove the field.
During account creation, you can preview data given the selected settings of the report. Click the "preview" button at the bottom of the page, and the system will generate 10 rows of data and display them in a table below. It is important to note that the result may or may not be the first 10 rows of data. The required fields for previewing are "Frequency", "Language", and "Output Fields".
When viewing the list of scheduled reports on Account / Scheduled Reports, you can choose to manually run a scheduled report. Clicking this will trigger the report generation process for the previous period. For example, if your scheduled report's frequency is weekly and you click "Run Now" on Thursday the 11th, the report will run as if it was Monday the 8th and generate data for the prior week (1st - 7th).
If an email is provide the report will be sent directly to that email address. If not there are more ways to access generated report data:
Go to Account / Scheduled Reports, and in the list of reports click the "View generated" to view reports for a particular schedule.
Go to Account / Downloads and filter by "Scheduled Reports" type.
